How PineCore Academy collects, uses, and retains personal data for coaching enquiries and sessions.

What we collect
- Identity and contact data (name, email, phone if provided)
- Enquiry content (session interest, preferred dates, message text, chart notes you send)
- Technical data needed to operate the site (e.g. essential cookies — see our cookie policy)
- Billing references once a session is agreed (handled offline; we do not store card numbers on this website)
Why we process data
- To respond to enquiries and schedule coaching (legitimate interests / contract steps)
- To deliver sessions and send written bias summaries (contract)
- To meet accounting and legal obligations (legal obligation)
- Optional analytics cookies only if you accept them (consent)
Retention
Enquiry messages are kept up to 24 months after the last meaningful contact unless a longer period is required for a dispute. Confirmed booking records and invoices are retained for six years for accounting. Session notes we produce are kept for up to 36 months to support follow-up coaching, then deleted or anonymised.
Sharing
We use email and scheduling tools under contracts that require appropriate safeguards. We do not sell personal data. We may share data with professional advisers or authorities when legally required.
International transfers
If a tool provider stores data outside the United Kingdom, we rely on UK adequacy regulations or standard contractual clauses (or equivalent) approved for UK transfers.
Your rights
Under UK GDPR you may request access, rectification, erasure, restriction, portability (where applicable), and objection to certain processing. Where processing is based on consent, you may withdraw consent without affecting prior lawful processing. You may complain to the Information Commissioner’s Office (ICO).
Children
Services are aimed at adults. We do not knowingly collect data from children under 18.
